Claude with QuickBooks Desktop
or Enterprise.
Short answer: Intuit’s QuickBooks connector for Claude works with QuickBooks Online and Intuit Enterprise Suite, for US customers; Intuit’s help article doesn’t list QuickBooks Desktop or Desktop Enterprise. For Desktop, the practical route is to export reports to Excel or CSV and give them to Claude, Cowork or Claude Code. A live connection needs third-party software built on Intuit’s Desktop SDK and Web Connector, running on your Windows machine.
Most guides to Claude and QuickBooks assume QuickBooks Online. If your firm or your clients still run QuickBooks Desktop Pro, Premier or Enterprise, this is what works today and what to check first. Facts checked on Intuit’s pages on October 28, 2026. For QuickBooks Online, see Claude and QuickBooks.
Which QuickBooks works with Claude’s connector
| Product | Where it runs | QuickBooks connector for Claude | What to use instead |
|---|---|---|---|
| QuickBooks Online | Cloud | Yes | — |
| Intuit Enterprise Suite | Cloud | Yes | — |
| QuickBooks Desktop Pro or Premier | Windows computer or hosted server | Not listed by Intuit | Excel or CSV exports |
| QuickBooks Desktop Enterprise | Windows computer or hosted server | Not listed by Intuit | Excel or CSV exports, or an SDK-based connector |
Watch the names: “QuickBooks Enterprise” usually means the Desktop product, while Intuit Enterprise Suite is a separate cloud product. Only the second works with Intuit’s connector.
Export a report from QuickBooks Desktop
- On Windows, open Reports → Reports Center and double-click the report.
- Set the dates and the columns you need, then choose Excel → Create New Worksheet.
- If QuickBooks warns about too many columns, choose Advanced and clear Space between columns.
- On a Mac, open the report and choose Export, then File → Save As.
- In Excel, delete columns the task doesn’t need (full account numbers, client tax IDs) and save as CSV if your tool expects one.
Intuit notes that Excel 2013 and older stop at 65,536 rows, so very large general ledgers may need a newer Excel or a shorter date range.
Which report to export for each task
| Task | QuickBooks Desktop report | Check before you trust the result |
|---|---|---|
| Categorize or clean a month of transactions | Transaction Detail by Account | Row count and net total match the report |
| Find duplicates | Transaction Detail by Account | Open two flagged pairs in QuickBooks |
| Bank reconciliation list | General Ledger filtered to the bank account, plus the bank’s statement export | Reconciling items add up to the difference |
| Month-end review | Profit & Loss, Balance Sheet and General Ledger | Totals tie between the three reports |
| Overdue invoices and bills | A/R Aging Detail and A/P Aging Detail | Aging totals match the Balance Sheet |
| Cash flow dashboard | Transaction Detail by Account for the bank accounts | Monthly in, out and net match a P&L by month on a cash basis |
Use the export in Claude, Cowork or Claude Code
- Claude chat for one-off questions about a single report.
- Claude Cowork for a folder of monthly exports: categorizing, reconciliation lists, a close checklist. Anthropic’s Finance plugin adds commands for entries, reconciliations and statements.
- Claude Code when you run the same job every month: build a small tool once, then drop in the new export. Our cash flow dashboard guide shows the process, with control totals to check against.
A good first prompt names the source: “This CSV is a QuickBooks Desktop Transaction Detail by Account export for March. Before changing anything, tell me the row count, the date range and the net total, and list any rows you can’t read.”
If you need a live connection
QuickBooks Desktop has no Intuit cloud connection for Claude. Software that reads or writes Desktop data goes through Intuit’s Desktop SDK, usually via the QuickBooks Web Connector: a Windows application installed on the same machine as QuickBooks that passes qbXML between QuickBooks and a web service. Intuit lists it for US, Canadian and UK editions of Pro, Premier and Enterprise from 2015 on. Several vendors sell MCP servers built this way. Before installing one for client books, check:
- whether it can be limited to read-only access;
- where the data goes: does it stay on your machine or pass through the vendor’s servers?
- what the vendor’s contract says about security, so you can oversee it as a service provider under the FTC Safeguards Rule;
- that it works on a sample company file before you point it at a real one.
Client data rules apply either way. See can you upload confidential client data to Claude? and the client data checklist.
