Claude for bookkeepers.
Practical, checkable AI.
Short answer: There are three ways to use Claude for bookkeeping. Upload an export to Claude chat for one-off questions. Use Claude Cowork, optionally with the QuickBooks connector, to work through receipts folders, bank exports and reconciliation lists. Or build a reusable tool, such as a bank-export cleaner or cash flow dashboard, with Claude Code. Every result needs checking against your own totals.
Bookkeeping is full of repeatable work on messy exports, which is exactly where a small custom tool pays off. With Claude Code you can build those tools yourself in plain English. The skill that matters is the one you already have: knowing what the right numbers are.
How to use Claude for bookkeeping: three ways
| Way | What you do | Plan | Good for |
|---|---|---|---|
| Claude chat | Upload a CSV or PDF export and ask questions | Free or paid | One-off questions, explaining a report, drafting a client email |
| Claude Cowork | Give Claude a folder of receipts or exports; it plans the steps and saves spreadsheets and documents | Pro, Max, Team, Enterprise | Receipt logs, categorizing bank exports, reconciliation lists, month-end checklists |
| Claude Code | Describe a tool; Claude Code builds it, and you rerun it every month | Pro, Max, Team, Enterprise | Bank-export cleaners, duplicate finders, cash flow dashboards |
Start with chat on a fictional export to see how Claude reads your data. Move recurring file work to Cowork (see Claude Cowork for bookkeeping: six tasks with prompts) and anything you run every month with the same layout to a small Claude Code tool. Whichever you use, tie every result to the bank statement or ledger.
Five tools bookkeepers can build with Claude Code
- Bank export cleaner. Turns different bank CSV layouts into one consistent format: date, description, category, amount.
- Categorization helper. Applies your rules (for example, anything containing "Payroll" goes to Payroll) and flags what it cannot place instead of guessing.
- Duplicate finder. Lists transactions that appear twice with the same date, amount and description.
- Client cash flow dashboard. Money in, money out and net cash by month, from the client's transactions. Start with our free template.
- Missing-receipts tracker. A list of transactions above a threshold that still need documentation.
Claude and QuickBooks
Intuit offers a QuickBooks connector for Claude (US customers only, per Intuit's help center) and an open-source QuickBooks Online MCP server for developers. Many bookkeepers will find the simplest path is still a CSV export. We compare the three options in Claude Code and QuickBooks.
Rules that keep client books safe
- Build and test on fictional data first.
- Remove names, account numbers and anything the tool does not need.
- Re-import the same file twice: totals must not change. This catches double counting.
- Check that payments stay negative everywhere.
- Read what Claude Code sends to Anthropic before using client data.
Do I need to code?
No. You describe the result and check it. If you have never used a terminal, start with Claude Code for non-developers.
