Claude Cowork for bookkeeping.
Setup and six tasks.
Short answer: Claude Cowork is Claude's agent for multi-step work on files. For bookkeeping it can turn a receipts folder into an expense log, categorize a bank export with your rules, list duplicates and prepare reconciliation lists. It needs a paid plan (Pro is $20/month). Anthropic's own safety guide advises against giving it sensitive files such as financial documents, so work on copies that hold only what the task needs, and approve each step.
Most bookkeeping time goes into moving information between files: receipts into logs, bank exports into categories, statements into reconciliations. That is the kind of work Claude Cowork is built for. It plans a multi-step task, works on the files you share and saves finished spreadsheets and documents back to your folder. You still decide what is right.
Claude chat, Claude Cowork or Claude Code?
| Tool | Where it runs | Works with your files | Best bookkeeping use | Plans |
|---|---|---|---|---|
| Claude (chat) | Web, desktop and mobile apps | Files you upload to the chat | One-off questions about an export, explaining a report, drafting an email | Free and paid |
| Claude Cowork | Desktop app (macOS, Windows), web and mobile; on Pro and Max, tasks run in Anthropic's cloud | Reads and writes files in folders you connect, through the desktop app; saves finished spreadsheets and documents | Sorting receipts, categorizing bank exports, reconciliation lists, month-end checklists | Pro, Max, Team, Enterprise |
| Claude Code | Terminal, IDE, desktop app, web | Works inside a project folder and writes code | Building a reusable tool: bank-export cleaner, duplicate finder, cash flow dashboard | Pro, Max, Team, Enterprise, Console |
Anthropic describes Cowork as using the same agent architecture as Claude Code, aimed at knowledge work rather than software. In practice: Cowork does the task for you; Claude Code builds a tool that does the task. See Claude Cowork vs Claude Code for finance for the full comparison.
What changed in autumn 2026. On September 16, 2026, Anthropic announced that Cowork and chat are merging into one Claude. It is rolling out first to Pro and Max; Team and Free plans follow later, and Enterprise admins get at least 30 days' notice. If your message box still shows "Chat" and "Cowork", choose Cowork; if it doesn't, describe the task in any conversation. Since October 6, 2026, new Cowork tasks on Pro and Max run in Anthropic's cloud, and Claude reaches folders on your computer only through the Claude desktop app while it is open.
How to set up Claude Cowork for bookkeeping
- Check your plan. Cowork is included in Claude Pro, Max, Team and Enterprise. The free plan does not include it. Multi-step tasks use more of your usage limit than a quick question.
- Install the Claude desktop app for macOS or Windows from claude.com/download and sign in. Tasks run in the cloud, but the desktop app is what lets Claude read and write your local folders. In the message box, choose "Cowork", or, if you already have the merged Claude, just describe the task.
- Make a working folder per client and month, for example
Client-A/2026-09/with subfolders for receipts, exports and output. Copy files in, keeping only what the task needs; do not connect your whole Documents folder. - Write a short rules.md in the folder: your chart of accounts names, how to categorize common vendors, and the instruction "If unsure, write Needs review".
- Keep approvals on Manual. In Manual mode, the default, Claude asks before it acts. Auto mode screens actions automatically and uses more of your usage limit; for client files, stay on Manual.
- Connect only what you need. Connectors such as QuickBooks are optional, and Intuit's QuickBooks connector is for US customers only. Start with exported files; add a connector once you trust the routine. See how to connect QuickBooks to Claude.
Six bookkeeping tasks for Claude Cowork, with checks
Each prompt assumes the folder layout above and fictional or properly authorized data. Each ends with the check that tells you whether to trust the result.
1. Turn a receipts folder into an expense log
In 01-receipts there are PDF and photo receipts for September 2026. Create expense-log.xlsx in 03-output with one row per receipt: date, vendor, amount, payment method, category, file name. Use the categories in rules.md. If a receipt is unreadable or the category is unclear, write "Needs review" instead of guessing. Do not rename, move or delete the original files.
Check: The number of rows equals the number of receipt files, and the total matches the card statement for the month.
2. Categorize a bank export with your own rules
Read bank-2026-09.csv in 02-exports and rules.md. Add a category column using only the rules in rules.md. Put every transaction that no rule covers on a separate sheet called "Needs review". Save as bank-2026-09-categorized.xlsx. Show the total per category and the grand total.
Check: The grand total equals the net change on the bank statement. Spot-check five rows by hand.
3. Find possible duplicates
In bank-2026-09.csv, list transactions that share the same date, amount and description, and pairs with the same amount within 3 days of each other. Do not delete anything; just list them with row numbers in duplicates.xlsx.
Check: Open two of the listed pairs in the source file and confirm they are real duplicates or legitimate repeats.
4. Prepare a bank-to-ledger reconciliation list
Compare bank-2026-09.csv with ledger-cash-2026-09.csv. Match on exact amount with dates up to 3 days apart. List unmatched bank lines and unmatched ledger lines separately. Statement ending balance: [enter]. Ledger ending balance: [enter]. Show whether the unmatched items explain the difference.
Check: The explained difference equals the statement balance minus the ledger balance. If it does not, the list is incomplete.
5. Update the month-end checklist
Use close-checklist.xlsx from 04-prior-month as a template. Create the October 2026 version, mark items whose output files already exist in 03-output as "Ready for review", and list what is missing.
Check: You decide what is done. Cowork only reports which files exist.
6. Draft emails for missing receipts
From expense-log.xlsx, list card transactions over $75 with no receipt. Draft one short, polite email per client contact asking for the missing receipts. Save the drafts in missing-receipts.docx. Do not send anything.
Check: Read every draft before sending it yourself from your own email.
Rules that keep client books safe in Cowork
- Work on copies that hold only what the task needs. Anthropic's safety guide advises against giving Cowork access to local files with sensitive information, such as financial documents, and suggests a dedicated working folder and backups. Remove account numbers and anything else the task does not use.
- Know where the work happens. Cowork tasks run on Anthropic's servers, so files Claude opens through the desktop app are processed there, not only on your computer.
- One client per folder. It keeps data from mixing and makes it obvious what Cowork could see.
- Read the plan before approving. Claude always asks before permanently deleting files, in any mode; review its other actions too, especially with client files.
- Be careful with web browsing and unknown files. Anthropic describes the risk of prompt injection, instructions hidden in content, as non-zero.
- Check your firm's AI policy and plan terms first. Details in is Claude Cowork safe for client data?
When to build a tool instead
If you run the same categorization or dashboard every month on files with the same layout, building a small tool with Claude Code is often better: once it works, it runs the same way every time and the AI no longer needs to read the data. Our cash flow dashboard guide shows the process, and Claude for bookkeepers lists five tools worth building.

Frequently asked questions
What is Claude Cowork?
Claude Cowork is Claude's agent for multi-step knowledge work. You describe an outcome, it plans the steps, works with files in folders you connect and saves finished documents and spreadsheets. It uses the same agent architecture as Claude Code. Anthropic is merging it into the main Claude app, starting with Pro and Max.
Is Claude Cowork free?
No. Per Anthropic, Cowork is available on paid plans: Pro, Max, Team and Enterprise. Claude Pro is $20/month billed monthly.
Does Claude Cowork still need the desktop app?
Not to run: tasks run in Anthropic's cloud, and on Pro, Max and Team (in beta on Team) you can start them on the web or in the mobile app. To read and write folders on your computer, Claude needs the Claude desktop app open.
Can Claude Cowork do my bookkeeping?
It can do much of the file work: logging receipts, categorizing bank exports by your rules, listing duplicates and preparing reconciliation lists. It does not replace your accounting software or your review, and every output needs checking against source totals.
Can Claude Cowork connect to QuickBooks?
Cowork can use Claude connectors, and Intuit publishes a QuickBooks connector for Claude, currently for US customers only. Per Intuit it can pull reports, import transactions and create invoices and estimates, so start with exports and read-only questions until you trust the setup.
